Reservations

§ Confirmation emails - Reservations will only be confirmed on receipt by you of a confirmation email sent by Waterloo Lodge or an authorised agent. In the event a confirmation email is not received within 24 hours of making a reservation, please contact us or the relevant booking site to validate and confirm your booking.

§ Credit card details received by Waterloo Lodge to secure your reservations must be valid-
- At the time of booking.
- At the time of arrival.
- At the time of departure.

§ Booking Guarantee and Credit Cards - No payment is taken prior to arrival, the hotel reserves the right to pre-authorise/validate your credit card by holding the amount equal to your first night stay prior to arrival.

§ Prepaid Bookings: Prepaid bookings are charged to your credit card between time of booking and day of arrival. Booking are non-refundable, non-cancellable, and non-transferrable.

Our cancellation policy (see Group Policy for 4 or more rooms)

Please cancel 48 hours prior to 4:00 pm on arrival date to avoid the charge of a one night stay.

§ Our right to cancel your reservation - Waterloo Lodge reserves the right to cancel any reservation, regardless of whether a confirmation email has been received by you, up to 11:00am on the date which the reservation is due to commence. Waterloo Lodge are not under any obligation to offer an explanation for the cancellation but reasons may include, but are not limited to, an invalid credit card or overbooking due to a system error.

§  Incorrect pricing - Waterloo Lodge reserve the right to cancel reservations where any incorrect information has been displayed or provided in relation to a price or package advertised.

Smoking Policy

Waterloo Lodge has a strict non-smoking policy. Guests shall be liable for any costs arising from failure to comply with this policy and we reserve the right to charge a specialist cleaning fee to any guest who violates the non-smoking policy

Damage and/or Loss

Waterloo Lodge reserves the right to charge guests for the cost of cleaning any damage which has been caused by the Guest to the hotel’s property or structure. This right to charge will also apply to loss of earnings and/or profit where the damage is of such a nature that the room is unable to be let to other guests. This right to charge will also apply where any item from the hotel room is removed or lost.

If such damage or loss is discovered during the stay it will be drawn to the guest’s attention but, if discovered after guests have departed, we reserve the right to make a charge to the guest’s credit / debit card, or send an invoice for the costs for payment to the guest’s registered address.

Every effort will be made to rectify the damage before calling a specialist to carry out the work. If you should cause damage, please bring it to our attention immediately.

Group Policy

In a single reservation when 4 or more than 4 rooms are booked, it is considered as a group reservation.

The Hotel will be in contact with the booker/guest to follow this procedure. (Please note that a group reservation is not considered confirmed until hotel receives the pre-payment).

s A minimum 50% deposit is required upon confirmation based on the estimated number of guests booked.

s The final balance will be due 3 weeks prior to arrival.

s The deposit and final payment can be paid by bank transfer or by credit card.

s No group booking is confirmed until an agreed deposit has been received, this deposit request will be sent to you on making your initial reservation, with the due date of when your deposit and final payment should reach us.

s For cancellation of your entire group booking, please notify us no later than:
         
  4-6 Rooms - 10 days prior to arrival. 
          
  7-9 Rooms - 14 days prior to arrival.
          
  10 Rooms or More - 21 Days prior to arrival.

s Cancellations after this time or failure to arrive would result in a fee equal to 100% of the first night’s rate per room reserved being charged and 20% per night thereafter.

s If a group booking is created from individual bookings made in succession or in parallel, or the reservation of several rooms as one single booking by a participant or participant group, the hotel may pool the individual bookings into one group booking and apply group booking and cancellation terms and conditions. If the new terms and conditions are not accepted by the customer making the booking, the hotel or the agent may cancel the reservations.

s All group bookings must provide a rooming list for their rooms at least 72 hours in advance. Should the guest fail to do this, the hotel reserves the right to cancel the booking, with or without deposit. The hotel also reserves the right to request photo identification from guests on check-in.
